How a purpose-built app gave a Scotland-based lead-generation consultancy around eight hours a week to spend on results instead of reporting, delivered in under eight weeks.

The situation

This consultancy helps its clients work efficiently and make sharp calls in a fast-moving space. As the business grew, more and more of its insight lived across a well-developed set of Excel spreadsheets and pivot tables. They had served the team well, but preparing reports from them was taking time the team would rather spend reviewing the results and acting on them.

The leadership team wanted to bring the same efficiency they deliver for clients to their own operation: an easier way to run regular consultant reviews, a reliable audit trail of activity to support coaching and learning, and faster client reporting. They also saw the chance to set a clear digital direction for the business, rather than adding another spreadsheet each time a need arose.

Every consultant has their own performance page, used to run monthly reviews directly in the system. Notes are captured as the review happens and emailed automatically to the individual: an instant audit trail, with no writing-up afterwards.

The whole team, planned in one view

Each consultant plans their week in the app, booking time to client projects, internal activities or absence. That feeds management reports automatically and chases anyone who has not completed their plan, so resourcing decisions are always made on current data.

Automations that keep things on track

The app checks whether scheduled activities actually happened and automatically chases consultants for any data that is missing, so the picture stays complete without a manager having to notice the gap and follow it up.
